How to track software subscription receipts
Compare expected software suppliers with the documents and charges you actually have. Use a receipt review worksheet to follow up missing periods and changed amounts.

The takeaway
An expected subscription is not a recorded expense. Keep missing documents and follow-up actions visible.
Keep an expected-supplier list, collect the genuine documents and compare them with the charges and records you have. Record missing periods as follow-up tasks, outside the actual expense total.
Explore the received software records
Change the month or currency, then open the source rows behind the total. Currency groups are kept separate.

Fictional practice data. Changes stay in this example; no records are saved.
You can use a small local spreadsheet with a receipt folder, a shared cloud index or receipt software. The example here makes the review visible without assuming that every invoice is emailed, every supplier bills monthly or a connected inbox will find every document.
Download the software receipt review CSV or the Software review tab in the fictional workbook. The suppliers and references are invented, and document files are not included.
1. Build an expected-supplier list
Record the supplier, billing account or person who can access it, expected billing period, currency and where the receipt is usually obtained. Include annual renewals and usage-based services when relevant, rather than assuming all charges have a predictable monthly amount.
An expected amount can help you notice something worth checking, but it is not proof of what was charged. Keep estimated or expected values outside your actual expense total until the transaction and supporting record are established.
2. Record what you received and what remains to investigate
Scroll sideways to compare all columns.
| Supplier | Expected amount | Document status |
|---|---|---|
| CloudKite Example | AUD 24.00 | R-002 received in the example |
| FormDesk Example | AUD 12.00 | R-006 received in the example |
| WebHost Example | AUD 36.00 | R-008 received in the example |
| TypeCloud Example | USD 15.00 | R-010 received in the example |
| NoteLab Example | AUD 9.00 | Check billing account; no document recorded |
The four received references correspond to entries in the Expenses tab. The NoteLab expectation does not establish that AUD 9.00 was spent, unpaid or cancelled. Its next action is to check the billing account and payment records, not add an invented expense.
Keep a follow-up note with the missing period and the place to check. That is more useful than marking the supplier permanently “missing” after one search of your inbox.
3. Obtain the actual receipt or invoice
Check the supplier's billing portal and the email address used for the subscription. Workspaces, teams and personal accounts may have different billing contacts. Use the supplier's own current instructions for downloading documents rather than assuming every service uses the same menu.
Save the genuine PDF or other available original with a reference your tracker can find. A card charge tells you a payment occurred, but may not include the full description or other details on the supplier's document. Keep both when needed and ask your accountant about unresolved evidence.
For a manual collection, a folder plus an index can be enough. Cloud storage makes the collection available to authorised people on other devices once uploads or syncing are complete. It still needs sensible access and a backup routine. See the storage and accountant preparation options for a comparison.
4. Check changes without silently rewriting the source
Compare the received document with the recorded amount, currency and billing period. If a renewal price changed, retain the document showing the new charge. If a credit note or refund appears, keep it linked to the original and ask how it should be recorded in your circumstances.
Do not replace an old purchase amount with an expected future price. Also check whether two similar records describe a real second service or a duplicated import. The duplicate review guide gives a method for investigating repeated details.
When the bank and document currencies differ, keep the original currency and review the statement's conversion information separately. The practice data includes USD 15.00 and a different AUD bank amount specifically to show why the amounts should not be matched by their numeric value alone. Use the bank comparison guide for that example.
5. Make document collection part of the review
At the next review, start with items still awaiting documents, then add newly received records. Keep an owner and next action for an account someone else manages. Record cancellation requests or service changes in the relevant service account; a receipt tracker does not cancel subscriptions.
If your ChatGPT account has Gmail and custom connections available, the Gmail PDF guide shows an on-demand way to collect supported receipt PDFs and save reviewed records through Gexpense. It is not native background inbox syncing or a guarantee of complete supplier coverage.
For photos or downloaded PDFs collected directly, Gexpense's receipt workflow suggests details for review and saves the originals and expense records to its connected Google locations. Keep the expected-supplier list and unresolved-document review alongside that capture process.
Frequently asked questions
Should I add an expected renewal before finding the charge?
Keep expectations outside actual expense totals until the charge and supporting record are established. A missing invoice is a follow-up task, not proof of a purchase.
Does Gexpense find every subscription or cancel unused ones?
No. Keep a supplier checklist and check billing portals. Supported Gmail PDFs can be collected on demand through ChatGPT; subscription changes remain with the supplier.
