Receipt organisation
Why receipts matter at Australian tax time
Why receipts need context for Australian tax preparation, from employee working-from-home records to side-hustle activity and the limits of automated capture.

The takeaway
Keep the receipt, its work context and any open questions together. Saving a purchase does not decide its tax treatment.
To prepare receipts for Australian tax time, keep each original with its work context and any unresolved question. Add the records required for your claim method and circumstances. Receipt capture helps organise evidence; it does not decide what is deductible.
A saved receipt starts the conversation
A document can help establish what was bought and when. It does not, by itself, answer whether the cost relates to your work, whether someone reimbursed it, or how any private use should be treated.
For a device used for paid work and personal activities, keep three things connected:
- The original: the item and purchase cost.
- The context: how the device was used, with relevant supporting records.
- The question: what still needs a calculation or review under the applicable rules.
A label such as “work equipment” does not resolve those questions.
Match work-from-home records to the method
The ATO describes a fixed-rate method and an actual-cost method for employees. The records required depend on the method used.
For example, the fixed-rate method requires a record of actual hours worked from home across the income year, as well as expense evidence. A receipt collection alone does not contain all of that information.
Keep the additional records required for your circumstances. The employee methods are separate from the rules for a home-based business; the two situations should not be treated as interchangeable.
Check how the side activity is treated
Selling something occasionally, carrying on a business and working as an employee are different situations. The ATO's Are you in business? guidance looks at the activity and how it operates, rather than relying on the label “side hustle”.
Keep records of the activity's income and costs while you work out the treatment. Note which activity a purchase relates to and flag shared or uncertain items for discussion. A small amount of income does not remove those questions, and every saved cost is not automatically claimable.
Review questions while the details are fresh
A recurring review can surface a missing invoice, refund or unclear purchase while the source is available. Keep the question beside the expense so your accountant can follow it to the original. The freelancer expense-tracking article covers that routine.
For personal deduction records, the ATO's records guidance generally requires written evidence for five years from lodging the return. It also explains different or longer retention rules for records such as depreciating assets, capital gains and disputes. Check the applicable retention rules for business records separately with the ATO or your registered tax agent before disposing of documents.
Reduce the repeated admin
Gexpense was built around the work of finding, sorting, storing and tracking receipts. Scanning suggests fields for review; saving stores the original in the connected Google Drive folder and the expense in its connected Google Sheet with a receipt link.
That helps create an organised collection for review. It does not decide which costs are deductible, determine the business share, lodge a return or guarantee a refund. The automation article explains the difference between reducing entry and filing work and making accounting decisions.
The aim is to carry clearer records and fewer unexplained purchases into tax preparation. Read why Gexpense was built for the personal frustration behind that product choice.
The official source references above were checked on 20 October 2026. This article concerns record keeping; check the rules for your income year and circumstances with the ATO or a registered tax agent.
Frequently asked questions
Are receipts enough for working-from-home claims?
Not by themselves. The ATO record requirements depend on the method and circumstances, including actual hours for the employee fixed-rate method. Check the linked guidance for your income year.
Does saving a receipt mean I can claim it?
No. Work purpose, private use, reimbursement and the applicable rules still need review. Gexpense records the evidence; it does not determine deductibility.
